Helpful Hints for User Registration and Log-In
If you cannot log in to your ConfTool account or have problems creating a new account, the following hints should help you solve the most common issues.
You usually need a new account for each conference.
For data-protection reasons, the data you enter is only ever available to the respective conference organizers and is deleted from our servers a few months after the event. So even if you have used ConfTool for a previous conference, you normally have to create a new user account for each new conference.
Exception: If the organizers stay the same and have arranged it, your account may be copied to the next event. In that case the login page will tell you that the data from the previous conference were copied, and you can use your old login details.
What Problem are You Facing?
1. I can't log in
2. I forgot my user name
3. My e-mail address is “not registered”
4. I forgot my password
5. How do I create a new ConfTool account?
6. I need assistance from the organizers
7. I still need help
1. I Can't Log In
Before anything else, please check these two common pitfalls:
Watch out for case and look-alike characters.
User name and password are both case-sensitive – "peter" and "Peter" are different. Also watch for similar-looking symbols, e.g. the capital letter "O" and the digit zero "0".
If your credentials are definitely correct but you still cannot log in, use the sections below depending on whether you are unsure about your user name or your password.
2. I Forgot My User Name
Use the "Forgotten your user name?" link on the login page (see image 1) and enter the e-mail address that was used for your account. The system will then send your user name to that address.
If the system replies that no user with your e-mail address is registered, see the next section.
3. My E-Mail Address is "Not Registered"
If the system tells you that no user with your e-mail address is registered, this usually has one of the following causes:
- You used a different e-mail address when registering. → Try your other addresses.
- You don't have an account for this conference. Each conference normally has its own user database. → Create a new account (see below).
- There was a typo in your e-mail address when the account was created. → Contact the conference organizers; they can correct it.
- You hold two accounts (often with two different e-mail addresses). → Contact the organizers; they can merge them.
4. I Forgot My Password
If you know your user name but your password does not work, use the "Forgotten your password?" link (see image 1). You will receive an e-mail that lets you set a new password.
Please note: the organizers cannot send you your existing password, because it is stored encrypted – but they can set a new one for you if needed.
5. How Do I Create a New ConfTool Account?
Click "Register new" on the login page (see image 2) and fill in all fields marked with an asterisk (*).
Do not create a second account for the same conference.
For example, if you have already submitted a paper, use the same account to register for participation. If you try to register again with the same e-mail address, you will get an error message – use the "Forgotten…" links instead. (Some organizers do allow several accounts per e-mail address; even then, please use one account per person for all actions.)
When creating an account, please observe the following requirements:
| Field | Requirements |
|---|---|
| E-mail address | Must be valid (ConfTool runs several checks to catch typos). It is used to contact you about the event, the submission process and the participant registration. |
| User name | At least 2 characters, case-sensitive, and unique – no other ConfTool user may already use the same name. |
| Password | At least 5 characters, case-sensitive, with at least one Latin letter (a–z) and one number (0–9). It must not be simplistic (for instance, it must not be equal to your name). Please note that your event may have different password requirements, such as a password length of 8 or 14 characters, depending on the organisers' preferences. |
6. I Need Assistance From the Organizers
If the hints above do not solve your problem, please contact the conference organizers (their e-mail address is in the lower-left corner of every screen). They can easily:
- check whether you hold a user account,
- verify and update your e-mail address,
- send you your current user name,
- and merge duplicate accounts (if required).
They cannot send you your password (it is encrypted), but if you are really stuck, they can set a new user name and/or password for you and send it to you.
7. I Still Need Help
If you still cannot create an account or log in, please contact the conference organizers by e-mail and include all relevant details (for example the e-mail address and user name you tried). They will be able to assist you.
Need to reach the organizers?
You always find the contact e-mail address of the responsible conference organizer in the lower-left corner of every ConfTool screen (see image 3).
