The following are general hints on how to use ConfTool.
The guidelines and terms of your event's organizers are binding and always take precedence.
You can use ConfTool to submit your contribution, follow the review process, upload the final version and register for participation. All of this is done with a single user account.
One account for everything. You do not need a new account for each contribution.
The same user account is used for all your submissions and for participant registration for the same conference. If you already have an account (for example, as a reviewer or program committee member), please use it for your submissions as well.
However, you usually need a new account for each conference: for data-protection reasons, the data you enter is only ever available to the respective conference organizers and is deleted a few months after the event.
1. Create a ConfTool User Account
To create a user account, go to the ConfTool login page of your event and follow the "Register new" link under "First time here?". Fill in the required fields of the web form (marked with an asterisk *); a confirmation e-mail with your account details will then be sent to you.
Please provide a valid name, address and e-mail address – these are used later to send you relevant information about your submission.
2. Log In to ConfTool
Once you have an account, log in with your user name and password under "Registered Users". If you have forgotten your password, you can obtain a new one via the "Forgotten your password?" link.
Depending on the current phase of the submission, review and registration process, you will see different options after logging in. If you have already submitted contributions, you can always open the list of your submissions and check their status. All the following steps require you to be logged in.
3. Submit a New Contribution
Select "Submit Contribution" (standard version) or go to "Your Submissions" (Pro version; see image 1) and choose the type of contribution you want to submit. Enter all required details in the submission form (marked with an asterisk) and proceed.
If one or more uploads are required, you can upload these files now or later. You can update your submission and upload newer versions until the submission deadline.
Note your submission number.
A number is assigned to your submission – please use it for all further reference.
4. Update Your Contribution
Until the submission deadline, you can update your contribution details, upload new versions of the manuscript, or withdraw the contribution (see image 2).
Only the last version counts.
The last version uploaded before the submission deadline is the one considered for review – unless you withdraw the contribution.
5. View the Review Results
After the review process has finished, you will receive a message from the chairs by e-mail. The results are then made available to authors in ConfTool: log in, go to "Your Submissions" (Pro version) and select "Review Results" for your submission (see image 3). There you see the final outcome of the review, the scores and – if available – the reviewers' comments.
6. Upload the Camera-Ready / Final Version
If your contribution was accepted, you usually get the option to submit a final version. Please take the experts' review results into account for it (see image 3). You will again use ConfTool to upload the final version; the conference chairs will provide further details.
"Camera-ready" means template-compliant.
The final version must use the conference template and follow the submission guidelines, otherwise it cannot be published in the proceedings.
7. Register for Conference Participation
At least one author must register.
For each accepted submission, at least one presenting author has to register for conference participation – otherwise the contribution will not be included in the conference proceedings.
For most events, participant registration is also handled via ConfTool. If you already have a user account, click "Register as Participant" in the main menu to start (see image 4). This option becomes available once the organizers have set the programme – you will receive a corresponding message from them.
