Topic: How to Include Yes/No Questions for a Consent Clause in the Participant Registration Form

We would like to ask our participants for their consent to photo and video recordings during our event and collect this information via the participant registration form.

What is the best way to implement a consent clause like this in ConfTool?

There are three ways to implement this requirement in the participant registration form:

1. Event / Item with Checkbox (Recommended)
Set up an event/item and use a simple checkbox for participants to provide their consent (see Image 1 & Image 2, Photo Consent 1).

First, go to:
Overview => Settings => Manage Event/Item Groups
and create a new event/item group. For the “Selection Mode”, choose:
Normal: All Events/Items of this group are independent” (see Image 3).

Then navigate to:
Overview => Settings => Manage Events and Items
and create a new event/item with the following settings for “Choice Options” (see Image 4):
  • Minimal Choice = 0
  • Maximum Choice = 1
  • Pre-Selected Number = 0

Recommendation: We generally recommend the checkbox solution for implementing a consent clause in ConfTool, as it is the simplest and most intuitive option.

Hint: Use option 2 or 3 if you need participants to actively indicate whether they give or refuse consent.


2. Separate Event / Item Group
Alternatively, you can create a dedicated event/item group with two events/items to choose from.
Participants then have to select one option to indicate whether they give their consent or not (see Image 1 & Image 2, Photo Consent 2).

First, go to:
Overview => Settings => Manage Event/Item Groups
and create a new event/item group. For the “Selection Mode”, choose:
Exclusive: Use radio buttons so that only one event of this group can be selected” (see Image 5).

Then navigate to:
Overview => Settings => Manage Events and Items
and create the following new events/items.
The first event/item can be used to inform participants about the photo recordings during your event and request their consent. It is not selectable.
The second and third events/items represent the two response options participants can choose from (for example, “Yes, I give consent” / “No, I do not give consent”).

For the first event/item (which is not selectable), use the following settings for “Choice Options”:
  • Minimal Choice = 0
  • Maximum Choice = 0
  • Pre-Selected Number = 0

For the second and third event/item, use these settings for “Choice Options”:
  • Minimal Choice = 0
  • Maximum Choice = 1
  • Pre-Selected Number = 0


3. Event / Item with Extra Input Field
Another option is to use an event/item as a header and use an extra input field with two radio buttons, allowing participants to indicate their choice (see Image 1 & Image 2, Photo Consent 3).

First, go to:
Overview => Settings => Manage Event/Item Groups
and create a new event/item group. For the “Selection Mode”, choose:
Normal: All Events/Items of this group are independent” (see Image 3).

Then navigate to:
Overview => Settings => Manage Events and Items
and create a new event/item with the following settings for “Choice Options” (see Image 6):
  • Minimal Choice = 0
  • Maximum Choice = 0
  • Pre-Selected Number = 0

Finally, scroll down to the “Extra Input Field” and select the option “Radio buttons: Users may select one option from a list.”.
Make the input field “Mandatory, always required and saved” and enter the list of available options, one per line in the “Options” text field (see Image 6).
