The ConfTool system can generate QR codes, which can be provided to participants in different ways.
Please first read our general instructions for enabling and using QR codes in ConfTool:
QR codes simplify the check-in on-site (front desk)With ConfTool, the same QR codes can be used for checking in participants to individual events, too.
To activate this feature, please go to the page:
Overview => Settings => Main Settings for Participant Registration… and in the section “
Ticketing and QR-Codes for Single Events” enable the check-in option for single events (see image 1).
Then please activate this feature (only)
for each event / item for which you require separate check-ins. Please go to:
Overview => Settings => Manage Events and ItemsEdit the event, scroll down to the section “
Separate Check-In Option for This Event” and enable the separate check-in option for this event (see image 2).
You can now check-in all participants who have registered for this event separately.
This is useful for optional events such as workshops, excursions or dinners.
Front desk users can either choose the
QR Code Scanner for Events or the
ConfTool Front Desk feature to check-in participants on-site (see image 3).
The easiest way is to use the
QR Code Scanner for Events on the overview page of the front desk page. The front desk user can start the QR code scanner for single events by selecting one of the available events (see image 3). After scanning a participant's QR code, the person is marked as having arrived in the list of all participants
of that event (see image 4).
The status "Arrival:
EventName" changes to "
Has Arrived" and the QR code cannot be used again for the event.
If necessary, you can reset the status "Has Arrived" by selecting it in the ConfTool Front Desk function.
The QR code can then be used again.
If someone has bought an event for multiple people, this number will be shown when scanning the QR code.
An alternative way to check-in participants to single events separately is via the
ConfTool Front Desk function (see image 5). Here you can
manually check-in your participants for one event via the
list of participants of the event. Please choose an event list in the section “List Participants” on the top right.
To record the arrival of a person, select "Arrival:
EventName" on the right-hand side of the event list (see image 4).
The date and time of arrival will be recorded automatically.
Please note that the status "Arrival:
EventName" is only displayed if the participant has no outstanding payments.
To check-in a participant with outstanding payments, in any participant list select “Front Desk Data” instead and confirm the arrival by selecting the checkbox “Participant has arrived” (see image 4).
