What are the conditions under which authors can withdraw their submissions?
Until when can authors withdraw their submissions?

(A German version of this article is available.)

Authors can usually withdraw submissions only until the submission phase expires.

Please note that by default authors cannot withdraw a paper anymore if one of the following conditions is met:
  • the submission phase is over for the corresponding track,
  • the submission has been finalized by the author,
  • reviewers have been assigned to the submission,
  • the submission has been assigned to a session,
  • the submission has been given an acceptance status for which the "Show Results" to authors option has been enabled (see image 1).
Please check the acceptance status on this page:
Overview => Settings => Manage Acceptance Statuses
  • or the submission has been given an acceptance status for which the option "Will Contribution be Presented?" is set to "Yes" (see image 1).
Again, you can find the option on this page:
Overview => Settings => Manage Acceptance Statuses

Hint: If you want to allow authors to withdraw submissions regardless whether they have been assigned to a reviewer, given an acceptance status or are slated for presentation, you can enable a different setting.

Please go to this page:
Overview => Settings => Main Settings for Abstract and Paper Submission
Enable the expert settings on the bottom of the page by clicking on "Expert Settings Disabled" or the cogwheels.

For the option "Condition for Withdrawing Submissions by Authors" choose the setting "Submissions can be withdrawn during submission, editing, upload or final uploads phases." (see image 2).
Authors will then be able to withdraw their submissions during any of the phases of a submission, including while editing, uploads and final uploads are enabled. This would allow authors to withdraw papers in a second round of a two-phase review process.
