General
Information on the processing of personal data in connection with participation in the ARGUS Award pursuant to Articles 13, 14 and 21 of the General Data Protection Regulation (GDPR)
The protection of your personal data and transparent processing are important to HENSOLDT Sensors GmbH (hereinafter also referred to as “HENSOLDT”). With this notice, we would like to inform you about the processing of your personal data in accordance with Articles 13, 14 and 21 GDPR.

III. For what purpose and on what legal basis is personal data processed?
The processing of your personal data is necessary for the purposes of the application and participation in the ARGUS Award as well as the selection of the winners of the award. The legal basis for the processing of your personal data is Art. 6 para. 1 lit. b GDPR (entering into and performance of a contract).
In addition, HENSOLDT has a legitimate interest in the organisation of the ARGUS AWARD and the processing of personal data necessary for that purpose pursuant to Art. 6 para. 1 lit. f GDPR. This also includes data processing to ensure the security and functionality of the tool used to organise the ARGUS Award (see section IV. and V.).
Due to security requirements at HENSOLDT's premises, participants are required to disclose their nationality when registering for the ARGUS Award. This information is collected for the purpose of ensuring the security of our premises and complying with legal requirements (e.g. export control and security law), and is based on HENSOLDT's legitimate interests pursuant to Art. 6 para. 1 lit. f GDPR.
You are only required to provide the personal information necessary to participate in the ARGUS Award.
If image recordings (photo, video) of you are taken in connection with the ARGUS Award, the creation, storage and publication of such data will be based on your consent in accordance with Art. 6 para. 1 lit. a GDPR. In this case, your consent will be obtained separately, and you will be provided with separate data protection information.
IV. What categories of personal data are processed and where do they come from?
The following personal data will be processed in connection with the application and participation in the ARGUS Award:
- First name and surname
- Nationality
- Contact details (e-mail address; optional: phone number)
- Resume (CV)
- Letter of recommendation
- Information related to the submitted thesis (e.g. university and faculty as well as type of thesis)
- Image recordings, if applicable (see section III.)
Your personal data will generally be collected directly from you or submitted to us as part of a recommendation by your professor.
For the organization of the ARGUS Award, HENSOLDT uses a web-based system called “ConfTool Pro” provided by ConfTool GmbH Hochrad 58, 22605 Hamburg, Germany also see section V.).
When using the tool, technical data (Browser type and browser version, operating system used, referrer URL, host name of the accessing computer, time of the server request, IP address) is processed in server log files.
ConfTool also uses cookies. Cookies do not harm your computer and do not contain any viruses. Cookies help make the tool more user-friendly, efficient, and secure. Cookies are small text files that are stored on your computer and saved by your browser. Most of the cookies we use are so-called "session cookies." They are automatically deleted after your visit. Other cookies remain in your device's memory until you delete them. These cookies make it possible to recognize your browser when you visit the tool the next time. You can configure your browser to inform you about the use of cookies so that you can decide on a case-by-case basis whether to accept or reject a cookie. Alternatively, your browser can be configured to automatically accept cookies under certain conditions or to always reject them, or to automatically delete cookies when closing your browser. Disabling cookies may limit the functionality of the tool.
Server log files and cookies which are necessary to allow electronic communication or to provide certain functions are stored pursuant to Art. 6 para 1 lit. f GDPR. HENSOLDT has a legitimate interest in the storage of server logfiles and cookies to ensure security and error-free usability of the system.
ConfTool uses TLS encryption for security reasons and for the protection of the transmission of confidential content.
V. Who are the recipients of your personal data and is data transferred outside Europe?
Within HENSOLDT, only authorised staff responsible for the relevant area of work have access to your personal data.
For the organization of the ARGUS Award, HENSOLDT uses a web-based system called “ConfTool Pro” provided by ConfTool GmbH Hochrad 58, 22605 Hamburg, Germany. In accordance with Art. 28 GDPR, a data processing agreement has been concluded with the service provider to ensure that it processes data strictly in accordance with HENSOLDT’s instructions and not for its own purposes. The application's servers are hosted directly by the service provider in ISO 27001-certified data centres located in Germany.
The ARGUS Award is organised in collaboration with representatives from academia and industry. Your personal data as described above will be disclosed to these experts to the extent necessary for your participation in the ARGUS Award and the selection of the winners. You will receive further information about the recipients of your data as part of the (confirmation of) participation. In addition, based on your consent, your personal data may be shared for the purpose of attending professional and networking events.
We are also authorised to contract with affiliated companies or third parties to provide certain services, such as IT services, in compliance with data protection regulations. These third parties may have access to your personal data to the extent necessary to provide their services. Where required by law, we will enter into a Data Processing Agreement with such third parties in accordance with Art. 28 GDPR.
Where data is transferred to recipients outside the European Economic Area, different data protection regulations may apply. In this case, we will take precautionary measures to ensure the adequate protection of your personal data in these countries, e.g. by concluding so-called EU standard contracts with the respective recipient of the data. For intra-group data transfers, the HENSOLDT Group has concluded an agreement on the transfer of personal data.

VI. How long is your personal data stored?
We process your personal data for as long as this is necessary for the purposes of processing described (see section III.).
Where there are subsequent statutory retention and documentation obligations, including those under the German Commercial Code (HGB), which may regularly be up to ten years, we will restrict the processing of the data for that period accordingly.
In addition, data may be stored for longer periods for the purpose of defending or asserting legal claims, in which case the retention period will be based on the statutory limitation periods for such claims.
VII. Does automated decision making (including profiling) take place?
Automated decision-making within the meaning of Art. 22 GDPR, including profiling, does not take place in connection with the application and participation in the ARGUS Award.
VIII. Your rights
Under the respective conditions, the existence of which must be checked in each individual case, you have the following rights:
- the right to obtain information about the processing of your personal data (Art. 15 GDPR)
- the right to request the rectification or completion of inaccurate or incomplete personal data (Art. 16 GDPR),
- the right to erasure (Art. 17 GDPR),
- the right to request the restriction of processing (Art. 18 GDPR),
- the right to receive your personal data in a structured, commonly used and machine-readable format (data portability) or to transfer it to a third party (Art. 20 GDPR).

In cases where data processing is based on your consent, you have the right to withdraw your consent at any time with effect for the future. Processing that took place before the withdrawal is not affected by the withdrawal.
Information about your right to object according to Article 21 GDPR
You have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you which is carried out on the basis of Article 6 para. 1 lit. f GDPR (data processing based on the balancing of interests). If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests or the processing is for the purpose of exercising or defending legal claims.

In addition, you have the right to lodge a complaint with a supervisory authority pursuant to Art. 77 GDPR if you believe that the processing of your personal data is not lawful. You can contact the supervisory authority responsible for your place of residence or your federal state or the supervisory authority responsible for the data controller.
