Topic: Exporting Presentation Information as BibTeX Files

BibTeX is a structured format for bibliographic references. Instead of manually typing and formatting every reference in a manuscript, all the relevant details — like author, title, and publication year — can be stored in a .bib file which acts as a database of your references. This allows you to separate your citation data from the actual formatting of your document.

If you want your participants to be able to export bibliographic information from the presentations in the ConfTool agenda, you can activate the BibTeX export option on the page
"Main Settings for Abstract and Paper Submission". Please go to:

Overview => Settings => Main Settings for Abstract and Paper Submission

Scroll down to the section "BibTeX Export" and enable the export function. Once activated, please enter related data such as "Event/Book title", "Publisher", "Address" (of the event), and the "Default Entry Type" (Image 1). This information is required for the export function to work. NB: In most cases it is advisable to keep "@inproceedings" as the default entry type.

The next step is to activate the ConfTool agenda BibTeX data export on the page
"Main Settings for the Conference Session Overview". Please go to:

Overview => Scheduling => Main Settings for the Conference Session Overview

In the section "Further Options", you can select whether the BibTeX export should be available to (see Image 2, top):
  • all users with access to the event program,
  • users with a user account who are currently logged in,
  • registered participants who are currently logged in,
  • registered participants without outstanding payments who are currently logged in.
You can use the checkboxes to further specify whether the BibTeX icon should be displayed for (see Image 2, bottom):
  • the full agenda,
  • each session,
  • each presentation.

Once you have made your selection and activated this option, the BibTeX export icon will appear in the agenda for the corresponding sessions or presentations (see Image 3).
